Summary of AccountabilitiesA Staff Accountant is responsible for managing and maintaining financial records, ensuring accuracy, and assisting in the preparation of financial statements for the organization. This position plays a key role in supporting the accounting department in all aspects of financial reporting and analysis.
Primary Duties and Responsibilities- General Ledger Management:
- Assist in maintaining and updating the general ledger by ensuring accurate recording of transactions.
- Post journal entries, ensuring all entries are properly classified, and reconcile general ledger accounts monthly.
- Accounts Receivable:
- Process and verify invoices for goods and services.
- Run Credit Cards for Customers.
- Complete Daily check deposits and take them to the bank.
- Prepare and review accounts receivable transactions, ensuring accuracy and timely receipt processing.
- Reconcile accounts receivable aging reports, addressing discrepancies as necessary.
- Consistently work Collections to bring past due accounts current with payments.
- Work with Operations Project Managers to get Progress Payments for Open Work Orders.
- Fuel Processing/Reconciling
- Maintain various reports for fuel inventory data.
- Process fuels payments and receipts.
- Prepare and review all fuel transactions ensuring accuracy and timeliness.
- Financial Reporting:
- Assist in the preparation of monthly, quarterly, and annual financial statements (Balance Sheet, Profit & Loss, Cash Flow).
- Prepare and assist in month-end and year-end closing processes.
- Generate reports as needed for management review and audits.
- Internal Controls:
- Ensure compliance with company policies, accounting principles (GAAP), and relevant financial regulations.
- Assist in monitoring and enforcing internal controls to safeguard company assets and ensure financial data integrity.
- Tax Compliance and Reporting:
- Assist with the preparation and filing of Federal Excise Tax
- Help prepare and support the documentation required for tax audits.
- Audit Assistance:
- Provide support during audits by gathering necessary documentation, preparing schedules, and answering auditors questions.
Education and Experience- Education: Bachelor’s degree in Accounting, Finance, or related field.
- Experience: 1-3 years of accounting experience, preferably in a corporate environment.
- Technical Skills: Proficiency in Microsoft Office Suite, especially Excel. Experience with accounting software (e.g., QuickBooks, NetSuite, SAP, etc.) preferred.
- Knowledge: Strong understanding of accounting principles (GAAP), financial statements, and accounting processes.
- Attention to Detail: Ability to identify discrepancies and errors and take steps to resolve them.
- Time Management: Strong organizational skills and the ability to manage multiple priorities in a fast-paced environment.
- Communication: Good verbal and written communication skills for interacting with team members and other departments.
Work Environment- Full-time position with standard working hours, though occasional overtime may be required during month-end or year-end periods.
