Position SummaryReporting to both the Director of Maintenance Operations and the Director of Maintenance Programs, the Maintenance Administrator is responsible for various administrative tasks within the Maintenance department. They create and update maintenance forms as required, maintain electronic and manual filing systems, and prepare maintenance reports for managers.Personal CharacteristicsHighly flexible, with the ability to respond quickly in a dynamic environmentProfessional and respectful, with a positive work attitudeTimely with a high level of commitment to on-time performance is essentialMotivated with the ability to work independently and as part of a teamEffective verbal and written communication skillsHigh level of respect, understanding and regard for First Nations communitiesPossess strong writing skills, including proper spelling, grammar and punctuationKey Responsibilities and AccountabilitiesProvide assistance with compiling statistics, special projects and conducting maintenance research.Create/maintain aircraft maintenance reports using WinAir and MS Excel.Assist managers with documenting investigations and corrective actions relating to SMS reports and audit findingsOrganize, coordinate and schedule travel and accommodations for Maintenance staff.Complete payroll functions for Maintenance departmentCoordinate scheduling of Maintenance meetings/training as requiredAssist with company manual and form amendmentsDocument meeting attendance and minutes at regularly scheduled Maintenance meetingsOversees maintenance contractors and arranges accommodationsPerform additional duties as assignedMinimum Education, Experience and CertificationsHigh school diploma or General Education Degree (GED) equivalentPost-secondary education with a minimum of 1-2 years direct administration experience within aviation considered an asset.Previous experience with Aviation Management Software considered an asset (WinAir preferred)Experience using Microsoft Office Suite (Outlook, Excel, Word)Must be able to obtain and maintain any applicable transportation security clearances and additional authorizationsIndigenous and Cultural Awareness Training considered an assetWorking ConditionsPhysically able to perform all listed job dutiesTravel by aircraft and other means as required by roleManual dexterity required to use desktop computer and telephoneWork performed primarily in an office environment
