Office Manager ( 2 Year Fixed Term Contract)
Your role
We are seeking an experienced Office Manager to join our Digital & Information Technologies team. This is a pivotal role responsible for overseeing the smooth operation of the IT environment, managing high-level administrative functions, & supporting the department’s strategic goals. You will serve as the primary link between IT staff, senior management, and external stakeholders, ensuring that operational efficiencies are maximized and continuously improved. The ideal candidate will bring a strong background in office management & project management, with experience in data-driven decision-making & implementing technical solutions to enhance productivity.

Strategic Office Operations & Management
- Lead daily operations within the IT department, aligning systems and processes with broader departmental objectives.
- Oversee workspace management, including hot-desk bookings and collaborative spaces to optimize efficiency.
- Act as a primary liaison for internal and external stakeholders, addressing office-related queries and maintenance requirements promptly
Facilities Strategy & Coordination
- Represent the IT department in all facilities-related matters, collaborating with facilities teams to ensure that space and resources meet evolving needs.
- Drive innovative solutions to facilities challenges to create a workspace conducive to productivity and collaboration.
Event Planning & Coordination
- Manage end-to-end logistics for IT events, such as technical summits, training sessions, & corporate functions, both onsite & offsite.
- Coordinate logistics for online executive events, including All Hands Meetings & Town Halls, ensuring smooth execution & high engagement.
Staff Support & Administrative Leadership
- Lead the onboarding and integration process for new IT staff, ensuring a smooth transition and alignment with departmental programs.
- Provide advanced administrative support for technical project management, including managing timelines, deliverables, & resource allocations.
- Support IT’s involvement in Transition Year (TY) and Graduate programs by coordinating onboarding, assisting with mentoring efforts, & fostering engagement.
Data Analysis & Reporting
- Analyse personnel data & produce reports on key KPIs and metrics, using insights to support strategic decision-making.
- Prepare executive-level reports, presentations, and project documentation, keeping stakeholders updated on IT developments.
Resource & Budget Management
- Manage procurement & distribution of office supplies, IT equipment, & resources, ensuring budget alignment & efficient resource utilization.
- Oversee departmental budgets collaborating with cross-functional teams.
Your qualifications and key criteria
Team Culture & Leadership
- Foster a high-performance, collaborative culture within the IT team, promoting open communication and team-building initiatives.
- Drive a culture of continuous improvement and ensure compliance with corporate policies, recommending best practices to support organizational goals.
- Substantial experience in an office management role, ideally within a high-performing IT or technical department.
- Proven track record of enhancing operational efficiency through data-driven solutions and technical improvements.
- Strong project management skills, with a history of delivering complex projects on time and within scope.
- Exceptional communication and interpersonal skills, capable of engaging stakeholders across all levels, including C-suite executives.
- Advanced proficiency in Microsoft Office Suite, reporting software, and office management systems.
- Strong analytical skills, with the ability to interpret data, track KPIs, and make insights-driven recommendations.
- Proactive leader with a “can-do” attitude, fostering innovation and a culture of excellence within the team.
- Exceptional problem-solving abilities, with the capacity to address and resolve complex operational issues.
- Fluent in English both written and spoken, with an ability to communicate effectively and simplify technical concepts for non-technical audiences.
- Eligible to live and work in the EU.
Current unrestricted worldwide passport. - Be in possession or be able to pass a strict airport security vetting procedure which includes a 5 year background check* (or be in possession of a current airside pass for the airport this position is based in Dublin).
