Job SummaryAs a Summer Student in the - Commercial & Stakeholder Relations department, you will get to support the team in their important work with our industry stakeholders. You will be responsible for a variety of administrative and communications tasks. You can look forward to updating key documentation used both internally and with our external partners. Managing access to our external SharePoint site as well as maintaining our internal site. Get your graphic design hat on creating new materials for the team to use, leveraging your attention to detail to ensure accuracy of the content and easy of use.

Job Description

The summer student will be exposed to different Areas in the department:

Compilation and maintenance of information:

  • Contacts lists for new or existing domestic and international industry representatives and associations.
  • Access/permissions for customer-facing SharePoint Online sites
  • Update existing documents (ex.: procedures manuals, Memorandum of Understanding)
  • Meetings and Events

General Administrative:

  • Assistance with information updates/maintenance of SharePoint online collaboration sites (including cleaning up access, creating groups, and developing a master list of users)
  • Update the electronic publications and data files
  • Converting documents to pdf formats/scanning (support going paperless)
  • Cataloguing, organizing and sending boxed documents to be archived

Assist with material production:

  • Checklists
  • Tracking sheets (ex.: items for industry events)
  • Surveys, Forms
  • PowerPoint presentations
  • Brochures and consultation boards

Responsibilities:

  • Support stakeholder relations activities by maintaining lists, pages, and documentation up to date
  • Organize large quantities of information from various sources into a cohesive resource, identifying redundant or unnecessary content
  • Conduct data analysis (ex.: survey outputs)

Desired Skills

  • Verbal communication skills (English, but bilingual would be considered an asset).
  • Good interpersonal skills or experience dealing with the public.
  • Experience “cold calling” to solicit information.
  • Ability to work in a small team.
  • Experience with SharePoint Online (and NINTEX forms) or other collaboration workspaces.
  • Attention to detail.
  • Strong organizational skills
  • Data gathering and analytical.
  • Ability to read, interpret, catalogue, scan, and file documents for long-term storage.
  • Writing skills (English, but bilingual would be considered an asset)
  • Application of consistent format (look and feel) based on corporate branding guidelines.
  • Good knowledge of MS Office 365 (especially PowerPoint, Word, MSTeams) and of PowerBI.
  • Experience coordinating small-scale events would be considered an asset (ex. volunteer associations, fundraisers, etc.)
  • Graphic design skills is an asset

Working Conditions:

  • This role is 5 days a week onsite at the Ottawa Head office.
